Keep access resilient

Use appropriate roles and regularly review access.

This lesson is ready to read and practise. English narration is awaiting production and source review; Thai narration follows next.

Understand

Profile access should match people's real responsibilities. Owners and managers have different permissions, and primary ownership is a distinct role. Review the current access list with the authorised owner, especially when staff or agencies change. Remove unnecessary access through the proper process rather than assuming that an old team member's continued access is harmless.

Google's playbook recommends multiple trusted managers and regular access review. It does not mandate a minimum of two people for every business. A sensible backup arrangement depends on the organisation and the people it trusts. Use separate accounts and preserve a recovery plan. Your learning record should show that roles were reviewed, with private identity and login information removed.

Practice example

A fictional shop depends on one departing employee's account. Plan owner-controlled access and an appropriate trusted backup, then record a redacted role review without sharing invitations, passwords or verification codes.

RIM coaching: Review access after responsibility changes and on a schedule the owner can maintain. Invitations and removals require the owner's authority; a plan alone is not an applied change.

Why review access and arrange trusted backup management?

Apply to your business

Review the people with access. Arrange trusted backup management where appropriate and remove unnecessary access through the owner.

Keep proof of your work

An owner-confirmed role review without emails, credentials or tokens. Multiple managers is a recommendation, not a numeric Google mandate.

A saved note is an owner report. Evidence is checked separately; keep drafts, applied changes and public observations distinct.

Check what changed

Recheck when staff or agency responsibilities change.
